Position Summary
The Title III Project Coordinator is responsible for the day-to-day coordination, monitoring, and administrative support of the LaGrange College’s federally funded Title III grant. Working under the direction of the Vice President for Academic Affairs, the Project Coordinator will coordinate grant activities across the College, monitor progress toward approved objectives and outcomes, facilitate communication among project participants, and ensure that grant activities are implemented in accordance with the approved grant application, federal requirements, and College policies and procedures.
The Project Coordinator will serve as a primary point of contact for the operational aspects of the Title III grant and will work closely with the VPAA/Project Manager, faculty and staff, the Business Office, Advancement Office, Institutional Research, and the grant’s External Evaluator. The position will maintain appropriate grant documentation, monitor project timelines and deliverables, assist with budget and funding requests, coordinate data collection and evaluation activities, and provide regular updates to the VPAA regarding the status and progress of the grant.
Qualifications and Training
- Bachelor’s degree in a related field from an accredited institution required.
- Minimum of three years of professional experience in higher education grant administration (experience in federal grant administration strongly preferred), or equivalent combination of education and experience.
- Demonstrated experience in project management, budget monitoring, coordinating or monitoring the work of cross-functional teams and project personnel, and accountability for project outcomes.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.
- Demonstrated ability to organize and manage multiple projects, deadlines, and priorities.
- Ability to work collaboratively with faculty, staff, administrators, and external partners.
- Ability to maintain accurate records and handle confidential information appropriately.
Essential Duties and Responsibilities
Grant Coordination and Implementation
- Coordinate the day-to-day implementation of the College’s Title III grant and its approved activities to include communication channels among all stakeholders.
- Maintain a comprehensive grant calendar documenting project activities, milestones, reporting deadlines, deliverables, and evaluation requirements.
- Track the status of grant activities and deliverables and communicate progress, concerns, and potential delays to the VPAA/Project Manager.
- Identify areas requiring additional support or intervention, to include changes in Title III requirements, and work with appropriate College personnel to address implementation challenges.
- Maintain organized and accurate documentation of grant activities and outcomes.
Federal Compliance
- Remain current on Title III program requirements, federal grant regulations, and applicable College policies and procedures.
- Assist the VPAA/Project Manager in ensuring that grant activities are conducted in accordance with the approved grant application and applicable federal requirements.
- Monitor grant activities and maintain records necessary to demonstrate compliance and support federal monitoring, audits, and reporting.
Evaluation, Data Collection, and Accountability
- Serve as the primary College liaison with the Title III External Evaluator.
- Coordinate with the External Evaluator to ensure that required data are identified, collected, organized, and provided in a timely manner.
- Work with Institutional Research and other College offices to obtain data necessary to measure progress toward grant objectives and performance measures.
- Assist with the preparation, review, and submission of required grant performance reports and evaluation materials.
- Track evaluation findings and recommendations and assist the VPAA/Project Manager in identifying appropriate follow-up actions.
Budget and Funding Coordination
- Assist with monitoring the Title III grant budget in coordination with the Business Office and VPAA/Project Manager including tracking grant expenditures and commitments against approved budget categories.
- Assist with identifying potential budget variances, unspent funds, or changes in project needs.
- Coordinate the preparation and processing of grant-related funding requests in the applicable federal system in collaboration with the College’s Business Office and Advancement Office.
- Maintain documentation related to grant expenditures, funding requests, and budget activity.
- Assist with ensuring that grant-funded purchases and expenditures support approved grant activities and comply with applicable federal and College requirements.
Reporting and Communication
- Provide regular status updates to the VPAA/Project Manager regarding grant implementation, expenditures, evaluation activities, outcomes, and potential issues.
- Facilitate communication between the College and external grant-related partners as directed by the VPAA/Project Manager.
Project Monitoring and Continuous Improvement
- Monitor progress toward grant objectives, outcomes, milestones, and performance measures, and follow up with responsible individuals as necessary.
- Assist project leaders in developing strategies to address implementation challenges.
