Description

Job Duties:

Under the direct supervision of the Business Office Coordinator, this position performs  Accounts Payable duties in support of the Business Office functions.

Duties will include, but not be limited to:

  • Review invoices and check requests for appropriate authorizations, documentation and account coding
  • Enter invoices in Jenzabar (J1) for payment
  • Prepare and process accounts payable checks twice weekly
  • Prepare positive pay file and transmit to bank with check run twice weekly
  • Prepare direct deposit of employee reimbursement requests twice monthly and notify recipients via email
  • Maintain vendor files
  • Correspond with vendors and respond to inquiries
  • Online management of corporate credit cards with monthly journal entries to code purchases to appropriate accounts
  • Prepare Georgia Sales & Use tax monthly, paying online
  • Preparing journal entries for campus store deposits and sales tax amounts
  • Enter payments for online vendors and prepare journal entries to code to appropriate accounts
  • Enter all 1099 vendors, prepare tax report and transmit to IRS yearly, mail 1099 forms to recipients
  • Open and distribute mail for the Business Office
  • Record Business Reply mail, distribute to appropriate departments, prepare journal entry to record charges on monthly basis
  • Record campus store departmental charges and prepare journal entry to code to appropriate departments monthly
  • Prepare monthly aging reports

Minimum Qualifications

  • 1-3 years accounts payable and general accounting experience. Prior accounts payable experience in a college or university is preferred

Knowledge, Skills and Abilities:

  • Strong computer skills with proficient knowledge of MS Word, Outlook, Excel , Jenzabar (J1)
  • Excellent written and verbal communication skills
  • Excellent analytic, organization and problem solving skills with ability to manage multiple tasks simultaneously
  • Ability to communicate effectively with faculty, staff, students and outside vendors
  • Strong Customer Service skills
