JOB SUMMARY:
The Senior Administrative Assistant to the Vice President for Academic Affairs provides high level, detailed assistance to the VPAA in performing duties of the Chief Academic Officer of the college including managing day-to-day office operations; project management; office workflow; meeting and activity management; office communications and academic scheduling.

Job Duties:

  • Effectively maintains a welcoming environment for constituents across the campus community and guests
  • Provide project management and organizational leadership for the VPAA’s strategic initiatives, including collaborating across the institution to streamline workflows and monitor progress
  • Act as VPAA’s designee in various organizational settings, including developing processes to improve office efficiency
  • Anticipate and provide for the immediate and long-term administrative and organizational needs of the VPAA; provides problem-solving and triage of incoming requests and issues to minimize demands on the VPAA’s time
  • Manage communications in and out of the VPAA’s office via multiple means of communication
  • Administer the faculty contract system including drafting appointment letters for new hires and preparation of annual contract for incoming faculty in coordination with the VPAA and the Office of Human Resources
  • Manage office files, materials, expenses, calendar, budgets, contracts, and other necessary daily operations of the VPAA’s office
  • Take responsibility for organization of regular meetings and activities led by the VPAA, including preparation for faculty meetings; chair and Academic Council meetings; special events; and Board of Trustee meetings
  • Provide staff support to key VPAA area committees; taking and preparing minutes; and drafting communications
  • Assist students with minor academic issues
  • Maintain confidentiality of correspondence and office operations
  • Maintain general familiarity with academic and institutional policies
  • Provides administrative support and coordination of accreditation reports, Xitracs faculty credentials storage, and associated campus visits
  • Perform other job-related duties as assigned.

Minimum Qualifications

  • Bachelor’s degree and three (3) years of relevant experience or equivalent combination of education and experience, preferably at a senior level. Preference given to prior experience in a college or university setting.
  • Demonstrated project management and problem-solving skills
  • Excellent communication skills – verbal, written, and interpersonal, with demonstrated ability to be discreet and maintain confidentiality; ability to communicate across all levels of the institution
  • Ability to multi-task with flexibility and balance multiple projects at any given time
  • Strong organizational skills with a great degree of accuracy and attention to detail
  • Experience with budget and organizational management at a senior level.

Knowledge, Skills and Abilities

  • Ability to lift a minimum of 50 pounds
  • Knowledge Microsoft Office Suite preferred
