Job Summary

 

This position is responsible for three main functions. 1) maintaining the alumni/donor database (Raiser’s Edge NXT) to ensure up-to-date records for all constituents ; 2) gift processing to ensure that donor intentions are honored, gifts are processed and acknowledged in an accurate and timely manner, and accurate financial reports are generated; and 3) serving as liaison to the Finance Department. This position will handle highly sensitive information and will maintain strict confidentiality on all materials. 

Job Duties (but not limited to):

  • Responsible for entry and maintenance of the constituent relationship management (CRM) system—Raiser Edge NXT (RE NXT) for gift entry and receipting including acknowledgements, honor/memorial processing, stock transfers, matching gifts, and payroll deduction
  • Prepare financial feeds, journal entries and bank deposit for the business office
  • Handle pledge entry, reminders, and acknowledgements
  • Create queries and pull lists from RE NXT for Advancement activities
  • Provide a series of weekly, monthly, and annual institutional reports along with national reports
  • Work with Controller on endowment accounts including monthly reconciliation, provide quarterly gift reports and reconcile stock gifts monthly
  • Work with Finance Manager on transfers to endowment investments and draws from endowment
  • Compile data for foundation and donor impact reports
  • Assist Advancement and Finance with comprehensive fundraising campaign tracking and reports, as well as other special projects
  • Support philanthropy efforts by providing research services including prospective donors and foundations
  • Work with Financial Aid, Controller, and VPs on yearly scholarship values for student awards and donor updates. Create and maintain annual scholarship donor/student recipient list
  • Maintain relationships with investment companies for stock giving and reporting
  • Ensure adherence to all IRS, FASB, CASE, and other legal regulations, standards, rules and guidelines in relation to gift recording and accounting
  • Work with and act as liaison with the College Business and Information Technology offices in managing accounting procedures
  • Develop data entry/maintenance operating procedures and adhere to professional standards in advancement services
  • In conjunction with the Advancement Leadership Team, keep gift policies and procedures up to date and documented
  • Research and institute new ways that data analytics can be used to enhance advancement efforts
  • Adhere to the college’s established data integrity standards

 

 

Minimum Qualifications:

The successful candidate will have a bachelor’s degree or equivalent mixture of education and experience with a strong working knowledge of fundraising, philanthropy, and advancement procedures. Experience in Advancement Services, higher education or related field preferred. A working familiarity with relational databases and accounting procedures.

Knowledge, Skills and Abilities:

Experience in Blackbaud’s Raiser’s Edge NXT, and J1 Jenzabar preferred, and Microsoft products, especially Excel required. Strong oral, written, and interpersonal communication skills are necessary as well as being an organized self-starter with a demonstrated track of meeting deadlines.
