Description
Job Duties:
- Maintain a clean and organized reception area with a welcoming atmosphere for students, staff, or faculty.
- Schedule appointments and meetings for the Vice President of Enrollment Management and Student Experience.
- Assists with appointment scheduling and check-in process for students utilizing the Counseling Center.
- Serve as receptionist for the office and provide general customer service to all seeking to interact with Student Engagement professional staff.
- Supervise and oversee the daily functioning of the unit’s work study program including, schedule oversight, time sheet coordination, facilitating requested projects, and assessment.
- Maintains primary responsibility for overseeing the distribution of student on-line training and maintenance of student records/holds pertaining to the training.
- Assist the VPEMSE and Career/Counseling Center with event planning and event facilitation; activities could include booking rooms, reserving equipment, arranging travel for speakers, overseeing location set up, distribution of assessment documents, producing reports of assessment data).
- Provide dedicated assistance planning and facilitating EMSE special projects, including Student Orientation, Welcome Week, and other events as assigned.
- Oversee the ordering of office supplies for the unit and work with the VPEMSE to manage the office supplies budget.
- Assist the VPEMSE,. Campus Minister, and Career/Counseling Center staff keep financial records and complete credit card statements.
- Work with professional counselors to a follow designated protocols with students seeking appointments in times of high stress or anxiety.
- Oversee the check-in and registration process for students visiting the Counseling Center
- Serve on various College committees and/or task forces as requested.
- Other duties as assigned by the VPEMSE.
Minimum Qualifications
Bachelor’s degree preferred. Proficiency with Microsoft Office Suite. Ability to work nights/weekends on a periodic basis. Experience working as administrative support for executive leadership is preferred. A strong sense of humor is highly desirable.
Knowledge, Skills and Abilities:
- Must be proficient with word processing, database, spreadsheet, e-mail, and presentation software programs. Knowledge of or ability to learn student information systems.
- Knowledge of FERPA regulations for handling confidential and/or student records.
- Excellent oral, written, and interpersonal communication skills with demonstrated ability to work collaboratively with community organizations, public/private agencies, faculty, staff, and students.
- Commitment to the mission of church affiliated liberal arts institutions like LaGrange College.
- Demonstrated sensitivity to issues of diversity, inclusion, and social justice in the collegiate setting.
- Proven record of being able to utilize effective time management, organization, prioritization, and attention to detail while performing multiple duties, often under stress.
- Ability to show compassion and empathy to students, especially to those in crisis.
- Ability to work collaboratively in a team environment and comfort with working independently on projects.
